President’s Report:

• Renewed focus this year on professionalism and the kids in the program. This includes:
  • Being good stewards of finances/budgets
  • Communication- LYF has switched from Blue Sombrero to Team Snap for registration. Added benefits of more functional LYF-wide communications.
  • New e-mails have been established for LYF Board members. This will allow continuity when new Board members are elected:

• Tiger Bowl: proposed pre-season bowl game weekend hosted in Loveland
  • Contact has been made with the Loveland Varsity Head Football Coach- Coach Cruse
  • Details are still being solidified
  • Thought is that grades 4, 5, and 6 would play games on the High School Turf if possible and available on a Saturday and Sunday. Grades k/1, 2, and 3 would play games on the LYF Field on Saturday and Sunday.

  • Income: largest sources of income are from registrations, as well as Gate fees collected, and concession earnings.
  • Additional income comes from corporate kickbacks, fundraisers, and interest.
  • Expenses: Largest expenses are concession stand supplies, field costs, equipment/uniforms (in 2020, many helmets need to be re-conditioned), referee/clock operator fees, HUDL/Team Snap fees, Administrative fees (insurance, background checks for coaches, GCYFL fees), and charitable contributions (high school scholarships).  Minor expenses include supplies for Homecoming, supplies for 6^th grade sendoff, and annual awards (championship game winners).
• The LYF Board reviewed the proposed 2020 Budget at a budget meeting in January, and this proposed budget was presented line-by-line.
  • Proposed budget projects just under a $6,000 profit in 2020.
  • There will be a link LYF members can use to access and view the 2020 Budget
  • A motion was made by Shannon Walton to approve the proposed 2020 Budget. The motion was seconded by Doug Hyrne.  All members in attendance voted in favor of the proposed budget, no members were opposed.  The 2020 Budget was approved.
• There will be new procedures for concession and gate money for the 2020 season. More information will follow.
• LYF will be switching to a new bank for our banking needs, and new accounting software will be purchased in the near future.

Secretary’s Report:

• Next meeting will be Sunday, February 23rd at 7:00 PM. The meeting will be held at Loveland City Hall
• Upcoming work: setting up a meeting with the High School (Athletic Department and Head Varsity Football Coach), determining our field usage fees (practice spaces as well as fees charged for use of High School turf field), and further specifying the city’s responsibilities for the LYF Field.
• LYF Board meeting dates have been set for 2020, and the meeting space at Loveland City Hall has been reserved for all meeting dates
• We are considering a different distribution method for monthly meeting minutes.
• Team/Squad end of season financial reports: Just waiting on two teams to submit their statements.

Cheerleading Report:

• The cheer camp will again be offered at the High School this summer. The dates for the camp are July 28^th-July 31^st 2020
• Coaches will attend a session the evening before cheer camp begins: July 27^th
• The uniform package pricing has increased slightly to $204 for a full uniform. Purchasing the uniform as a package is cheaper than ordering each piece individually.
• The cheer coach survey will close on January 31, 2020. 45 surveys have been returned.
• The cheer director and assistant cheer director will have meetings with each coach beginning end of February to review the surveys.
• LYF will be purchasing one set of pink pom-poms for all squads to share during the month of October.
• There will be uniform fittings and a cheer uniform consignment sale in May. More information to follow.

Football Director’s Report:

• Football surveys: received 28 so far. Hoping to get more responses in coming weeks.  After the surveys are gathered, survey feedback will be shared with coaches.
• GCYFL news:
  • League officials are re-aligning divisions. These divisions are based on organizations as a whole, and we want to maintain our pod schedule so that all Loveland teams play at the same location on game days as much as possible.  Loveland with be in the Silver East division along with Kings, Little Miami Gold, and Milford.
  • The league is considering some playoff changes
  • There will be some new rule changes, which will be discussed in coach meetings. There is discussion of eliminating player exemptions.  There are minor punting changes, and there will be new age limit rules and restrictions for 6^th grade…there will be a 150 lb. weight limit to run the ball on offense.
  • The league is now requiring teams to pay a deposit. A deposit would be forfeited if Loveland would leave GCYLF after February 1, 2020.
• Coach meetings will start soon
• Loveland must declare teams to GCYFL by June 1, 2020.
• Clarification: teams can be practicing plays any time (including prior to the season).  No hitting until the official start of the season though!
• Practices can officially begin on July 13, 2020. The first regular season games will be the weekend of August 15, 2020.  Playoffs will occur at the end of October, with championship games on November 1, 2020.
• HUDL- LYF will pay for HUDL for 4^th, 5^th, and 6^th grade football teams. K/1, 2^nd, and 3^rd grade teams could have parents record games and share with the coaches/team.

Committee Updates:

• Facilities: concrete and good amount of framing are done on the new press box.  Tarps are covering the work done so far, and the work will continue in the Spring.
• Fundraising: there will be a fundraiser that pairs with a registration opportunity at the Fowling facility on March 15, 2020.  We will have use of the facility for 5 hours.  Still working on details.
  • We will continue fundraising opportunities at local restaurants and host another parents night out. We will explore a fundraising opportunity with Mike’s Car Wash, as well as the possibility of selling programs.
  • Doug also working out details for sponsorship opportunities.

Old Business:

• The nomination process for the LYF President position closed at the end of the November 24^th Kevin Nelson had been nominated for the role, and he had accepted the nomination.  A vote was held with Board members and members in good standing that were present.  Kevin Nelson was officially elected as LYF President for the remainder of the Presidential term.

New Business:

• Scholarship committee will be established at the February meeting
  • Nicole Mertes will chair this committee and will need at least 3 LYF members to volunteer to review scholarship applicants/select recipients. Christina McCoy has volunteered, so we will be looking for at least two more volunteers in February.  Scholarship applications will need to be reviewed between February 28^th and the end of March, 2020.
• A link will be sent to LYF members for a proposed parent code of conduct. Members should review this proposed document, and come to the February meeting prepared to vote for/against this proposed document.  If approved, the completion of a parent code of conduct form will become part of the registration process. (See tab in ByLaws section of website)
• A reminder that members do not need to be members in good standing (member in good standing = 4 meetings attended out of the last 12 meetings held) to volunteer for committees!
  • Tiger Bowl committee: please e-mail Kevin Nelson if interested
  • Disciplinary committee: This is the only committee that does require a member to be in good standing to participate.  We need two more individuals to volunteer for this committee.  If interested, please let a Board member know.
  • Scholarship committee: Looking for at least 2 more volunteers.
• Angie Harden has gathered information from Red Line regarding speed/agility training options. There is also a fundraising opportunity LYF could pursue with Red Line.
• A discussion occurred regarding concerns about registration….particularly at the K/1 level and how we might increase registration numbers.

President’s Report:

• Met with the City regarding field space and field usage fees. We now have Boyke Park (field near LYF field between playground and the tennis courts at the front of the high school) year-round.  LYF will have use of the Phillips Park outfield spaces after August 1, 2020.
  • Our field usage fees for 2020 will be $1,100
  • We continue to work with the City to determine their responsibilities when it comes to the LYF field vs. our responsibilities, as well as extras when it comes to Boyke Park such as any extra lining requests.
  • Since we now have that Boyke Park space year-round, and since limited practice (no hitting) is now allowed in the off-season, some coaches may begin holding sessions in this space.
• Aaron Anderson has resigned from his role as Assistant Football Director due to work commitments. We thank him for his time, service, and dedication to LYF.

2^nd Vice President’s Report:

• Registration will begin at midnight on March 1, 2020. Registration for cheer will close on April 1, 2020, while it remains open for football until June 1, 2020.
  • Football registration will be $170.00 (k/1 still discounted rate, which will be $90), and there will be a $10 sibling discount. For late registrations, there will be a $25 late fee.
• A registration flyer has been created, and will get distributed/e-mailed. Nicole Mertes will e-mail a copy to the Superintendent’s office for approval to be included on the school website.
• We have a couple of registration signs that can be placed around the community, and we will look into ordering more.
• We discussed handing out flyers at the Loveland youth basketball games this week, as well as continuing to cross-promote through other Loveland youth sports.
• A question was asked regarding the schedule for registration money getting deposited into the bank account. Doug and Kevin will look into that.

• May 5 and 7, 2020: cheer consignment sale at Loveland Middle School from 6:00 PM – 7:30 PM.  All items to sell must get to Christina McCoy by April 26, 2020!  All uniform pieces will be accepted to re-sell.
• May 15, 2020: Uniform fittings for all new cheerleaders or those who need to purchase a new uniform at Loveland Middle School.  Purchasing a full uniform package is most economical vs. buying items separately.  Complete uniform package this year will be $204.00.  Jackets are $54.95, but any black jacket is acceptable as part of the uniform.  Parents must bring a smartphone to the uniform fitting to be able to select and pay for uniforms that evening!  Uniform fittings by grade entering in August, 2020:
  • 6^th grade: 4:00 PM – 4:30 PM
  • 5^th grade: 4:30 PM – 5:00 PM

• Disciplinary: We still need two additional members for this committee.  Members who volunteer for this committee must be in good standing.  Please let a Board member know if you are willing and able to volunteer in this capacity.
• Facilities: Press box construction will continue once the weather warms up.
• Fundraising: There will be a registration event/fundraiser at the Fowling warehouse on March 15, 2020 from 1:00 PM – 5:00 PM.  The cost will be $20 if you play, but there is no cost if you don’t play.
• Scholarship: Nicole will chair this committee and be responsible for receiving and distributing applications to review.  Christina McCoy, Emily Dahlke, and Amanda Davis volunteered to serve on this committee.
• Tiger Bowl: Several members have volunteered to volunteer on this committee- Angie Harden, Nikki Forster, Ben Thomas, Jen Cook, Bernadette Gabaree, Dennis Davis, Amanda Davis, and Emily Dahlke. Thanks for volunteering!

Old Business:

• Angie Harden has gathered information from Redline training facility regarding a fundraiser opportunity. They would set up an obstacle course, and participants would raise money to complete the obstacle course, similar to the walkathon at the schools.  Considering a day in May for this.  LYF would receive 70% of the funds collected from that event.
• Redline training facility has also presented options for speed and agility sessions.
• Doug presented a plan for a 2020 sponsorship program, where businesses can receive benefits such as advertising at the LYF field or in the proposed LYF program booklet for sponsorship.
• The proposed parent code of conduct was posted on the Lovelandyouthfotball.com website for review. Kevin Nelson made a motion to approve this parent code of conduct with the addition of a sentence which indicates that a “failure to comply with the parent code of conduct will result in a referral to the disciplinary committee.”  Nicole Mertes seconded the motion, and a vote took place.  13 in attendance voted for the inclusion of a parent code of conduct, 0 opposed.  Parent code of conduct is approved, and will be part of the registration process.
• Registration opens at midnight on March 1, 2020!

New Business:

• Dennis Davis asked the Board to consider the purchase of a tackling tool, which he estimated to range from $125 - $250. The Board will consider this request as we move forward.

• Doug discussed a volunteer opportunity to assist the NEST program with their ninja challenge obstacle course on April 25, 2020 from 8:30 AM – 4:00 PM at Symmes Park.
  • Shifts would need to be established, and we would need 1 parent, and 2 kids for each shift at each station we help with. Currently, we are committed to helping at the footwork challenge station and the tire pull station.
  • Christina McCoy will assist with a sign up genius for this event.
  • We can likely have our registration signs posted at this event. In addition, it would be great if those who volunteer wear their football jerseys, football t-shirts, or cheer t-shirts to promote LYF at this event!

• Tiger Bowl: tentatively scheduled for August 1^st and 2^nd, 2020
  • Kevin has reached out to the high school about the turf field. $60/hour charge for the field; $18.75/hour for janitorial services; would have to train someone on the scoreboard.
  • High school unsure of their exact schedule for the turf field yet because of the “camps” that happen there. So, unable to confirm time that turf will be available.
  • So, we will either have bowl games on 2 fields if we can get the turf field, or we will just have bowl games on the LYF field. Using only one field will reduce the money we make on the event.
  • Little Miami has expressed interest in participating in our bowl games, and we in turn, would attend theirs the following weekend.

• May 1, 2020: All items for the consignment sale must be dropped off at Christina McCoy’s house (11667 Kosine Drive; Loveland, OH) to be checked and tagged for sale

• Trying to get registration numbers up
• Dennis Davis has put out some signs for registration
• We are on schedule for the start of the season
• Grant Galloway will be the head coach of the K/1 Football Team. All 2019 coaches are returning for grades 2-6.
• Looking at OHSAA for guidance on proceeding with the season
• Notice from GCYFL has said practices can resume (no-contact)…7 players to 1 coach. These should be conditioning practices.
• No May coaches meeting because there was nothing to discuss
• June 18^th- projected next coaches meeting
• USA Football- will require normal certifications (like we usually do). If we do not have a season this year, they will carry over all certifications to the next year (so won’t have to undergo the whole process again).
• Next weekend Drew will go up to the field and turn the water back on.
• Guidelines to move forward seem to be similar to what has come out for other sports. Our benefit is that we have our own field that is not shared with a high school.
• Question about the $300 we owe GCYFL from fee for previous year. Kevin will follow up on that at the next GCYFL meeting.

  • Press box- Doug will start uncovering the press box in the next few weeks and moving forward. Doug will be looking for volunteers to help.  No more contractor work is required.  The rest of the work can be completed with volunteer help.  We will have to order the steps for the press box, as those are attached in one assembled piece.  These take a few weeks to build and receive.
    • Volunteers needed to: build deck, roof the deck, install siding, attach the steps. Doug will send out more information in the coming weeks.
  • Volunteers would also be appreciated to help with general facility prep!
• Fundraising
  • On hold as businesses are just getting back up and running.

• Governor has not approved us for competition between organizations yet, but hopefully that is coming soon.
• Practices should still be starting July 13^th, but we need everyone to be patient!
• All teams will be practicing at LHS for now, since baseball is going later in the season. We do not have Phillips Park space until at least August 1^st.
• We will have changes this season: cleaning schedule, signs posted, masks in the concession stand, some changes to food (ketchup packets, nacho cheese cups, etc.)
• A few additions to the website today- Parent code of conduct, GCYFL rules, Lindsay Law forms, medical forms, and COVID related information (including OHSAA updates)
• Conditioning practices started at Redline for 4^th, 5^th, and 6^th grades on Tuesday and Thursday nights from 7:30-9. Cost is $10 per kid, per session.  K/1 and 2^nd grade had a Saturday session with around 13 kids.  No session for K/1 and 2^nd this Saturday, July 4^th due to the holiday, but will resume on Saturdays after that.
• We must be mindful this season as parents/coaches when a player says they aren’t feeling well. If they are feeling SICK, they should be staying home.
• August 10^th, 11^th, and 12^th will be LYF pictures.

• Loveland will host our own weigh-in, with each team getting assigned a time. Weigh in date suggested is July 27^th.

• Games should be starting August 15^th. Loveland should have a bye weekend Labor Day Weekend, but we may need to be flexible.

  • Opportunity at Redline- obstacle course that football players/cheerleaders can participate in to raise money. There will be 10 obstacles.

• Weigh-ins
  • Our reps worked hard to collect paperwork and prepare the team binders. Extra requirements were added at the end.  Some glitches on the day (and we expected some- report card issues, background checks clearing on time), but there were some that were out of our control
  • Make up weigh-in information will be communicated
  • Always room for improvement, but proud of, and thankful for, Jen Cook’s hard work preparing the football reps, cheer getting paperwork done, and the football reps for handling this process over these last few stressful weeks!
• Last background checks are finishing processing, and background check letters will be finished.
• Question was raised about team fund money with so much uncertainty. Team reps have been advised to wait to collect team fees until a couple of weeks into the season, and when they do, to spend more cautiously in the beginning
• Youth Night at the Varsity Game and Homecoming plans still on hold with COVID concerns.

Football Director’s Report:

• Helmets were supposedly shipped to us on Thursday. As soon as those are in, we will organize equipment handout.
• Proceeding with season as normal at this point

• Thanks to LYF- parents, team reps for the process going as well as possible for us!
• Equipment handout- there will be a system where parents sign for equipment their players are using
• Next GCYFL meeting is on August 9^th
• Coach meeting will be held just before the regular season begins. Proposed date:  Thursday, August 13^th
• 2^nd, 3^rd, and 4^th grade football team numbers are very low and we are hoping for more registrants this week
• A lot of progress happening at the LYF field.
• The schedule for the season is in the final rough draft stage now
• Governor has banned play between teams/organizations, and that ban is still in place. So, we are not allowed to scrimmage anyone outside of LYF.
• We do have some helmet decals, if we do not have enough decals, we will evaluate the situation, and consider the budget.

  • Thank you to everyone who has come to the LYF field and volunteered their time
  • Press box- Besides the concrete work, the press box has been built by volunteers!
    • More help would be welcome this next weekend (August 1^st and 2^nd)
    • Finishing touches on the press box- painting the interior, and the possibility of staining (tinted stain) the outside was mentioned. This may save us from doing multiple coats.  We can use paint we already have for the inside
    • A new sign will be made for the press box
  • Field prep- Angie has put in a lot of time weeding flower beds
    • Doug will prepare a list of what still needs to be done, and that will be communicated as we seek volunteers
    • The old press box sign is being re-painted, and we will hang that on the fence
    • Nicole will check with the city regarding field maintenance…spraying for weeds/fertilizing
  • Fundraising
    • Opportunity at Redline- obstacle course that football players/cheerleaders can participate in to raise money. There will be 10 obstacles.
      • Event will be Sunday, August 2nd

      • Redline staff will be working each obstacle station.

President’s Report:

• LYF has two teams that are quarantined for another week for COVID potential close contact (close contact considered inside 6 feet for 15 minutes, or direct contact on a football field).
• LYF has had two positive COVID cases so far
• We all must take every precaution, and follow all regulations for our football/cheer season to continue
  • ALL SPECTATORS AND COACHES MUST WEAR MASKS AT PRACTICES AND GAMES!
    • Exceptions include: children under 10, broadcaster for games, or a coach having to blow a whistle. The governor order signed July 23^rd clearly lists all exceptions.
    • If someone indicates that they do fall under an exception situation, we cannot ask them to prove that, but the health department could.
    • Coaches, please be good role models for our players/cheerleaders in this regard!
  • LYF must notify the health department before hosting home games.
    • A health department employee could stop by at any point and shut us down for any infractions
  • PLEASE RESPECT SOCIAL DISTANCING GUIDELINES! (6 feet)
• Home games:
  • Fields limited to 15% fixed seating capacity. For us, that equals 54 spectators.  So, we must reach out to the state for them to approve additional spectators.  We are aiming for 250 spectators.
  • Kevin showed a map of our LYF field plan.
    • Home team and spectators will be along the sideline where the larger bleacher section is and in the far endzone. Visiting teams and fans will be along the press box sideline or in the endzone closest to the concession stand.
    • Spectators must exit the field immediately after each game (through the large gate.) Once all spectators have cleared the field, fans for the next game may enter (through the small gate.)
    • Spectators must remain seated, except for using the restroom, or visiting the concession stand.
  • Once the plan is approved, everyone will have access to the map, including visiting teams.
  • LYF is asking for 20 minutes between games to clear the field, and complete any necessary disinfecting.
• GCYFL has approved that hosting venues have the right to stop games if teams or spectators are not following guidelines.
• CYFL is in the process of disbanding, so LYF will, hopefully, be receiving a share of funds that remained in the CYFL bank account. LYF is hiring a lawyer to assist us in this process and with the paperwork involved.

• Concession stand is stocked (stocked prior to the canceled Sycamore games)

• All appropriate spacing will be marked to allow for social distancing
• Picnic tables will be removed from the covered concession stand areas

• Only 4 volunteers inside the concession stand, and 2 volunteers outside grilling each volunteer timeslot. NO CHILDREN ALLOWED in the concession stand.
• Hand sanitizers have been purchased and will be made available in various areas
• Loveland Youth Football sign will need to get hung so it is out of the concession building. Doug will be hanging that this week.
• Concession manager position is still open! Anyone interested, please let Drea know!  Concession manager helps with game day operation of the concession stand and managing volunteers.

• Next home game is this Saturday, October 3^rd. Most teams are playing Talawanda, 6^th grade is playing Anderson.
• Milford parents were phenomenal this past weekend in terms of following our requirements.
• This month we begin to think about next season (the 2021 season)

• We are still in need of a person to volunteer to serve as Concession Manager- this person works closely with Drea to help with concession operations on game day.
• At the next budget meeting (early 2021), Drea will be adding key items to consider for the concession area (such as a new grill.)
• We will hopefully know more about profits from the food truck soon.

A major accomplishment was building the new press box!

• As our season comes to a close, please remember that team/squad reps need to prepare a financial statement which gets communicated with the families. Please make sure to copy Nicole and Jen on those e-mails.  Save receipts in case there is a need to review those.
  • A question was raised about team fees, since all teams have not collected those this year because of COVID. A note should just be added to the statement stating this was the case for your team/squad.

• Playoffs different this year: no regular playoff.  Two weeks of bowl games (Orange Bowl, Citrus Bowl, etc.).  Teams put in groups of 4, winning teams play each other the second week, losing teams play each other the second week.  Season is over October 24^th  Loveland should be hosting some games, but nothing is confirmed yet.

  • Across all teams/squads, 121 programs were pre-ordered

• Loveland finished the season strong with k/1 winning the Blue Super Bowl, 5^th grade winning, and 6^th grade winning their games on Sunday, October 25th! 2^nd grade won their game on Saturday, October 24th!
• Thanks to the coaches this year- both football and cheer for dedicating so much of their time and keeping the kids safe!
• Also, thanks to the team reps for all their hard work this season!
• 5^th grade has a game on Tuesday evening, and then we will begin closing the field down for the season/winterizing.

  • Specifically, text will be added to Section 1. Members of the Board in the LYF by-laws to read, “In addition to the Executive Board, an honorary position is reserved for the current Loveland High School Varsity Football Head Coach. As an honorary position, the high school coach may, and is encouraged to, participate in Executive Board meetings, but will hold a non-voting role.”

• A question was raised about the possibility of more interaction with the 7^th grade football coach as well. This will be addressed with the Varsity Head Coach and will be further considered in 2021.

Certifications need to be carried in football/cheerleading binders. An AED will be at LYF field in set location. AED is at Philips for practices.
• Preseason Tiger Bowl: GCYFL will have preseason games this year. The first weekend of the year doesn’t count against your record. Volunteered to host at LYF field.

President’s Report:

• Congrats to the Beadle family on the new addition to their family.
• Emergency GCYFL meeting was held this week:

^ Had a VP on the GCYFL board who was shopping around to take their team to a

different league.  This member tried to take multiple teams with him from the

GCYFL. There was a vote to remove the member from the GCYFL board and

it ended in a 8-4 vote. Has to be a 2/3rds to be passed. Not currently sure what

the result will be. More to come in the future. GCYFL is still together but we

may have less teams. Two teams may be leaving: Lakota and Fairfield.

• High School Sports Camps posted their dates. Coaches please make sure to share this information with your teams. Summer Camps are:

• Credit cards are all set up and ready for us to use once we start our season.
• Walking Tacos and Slim Jims will be in the concessions. Maybe Prime?
• Laurie plans on ordering candy early so that we are stocked and not back ordered.
• Making a Sign Up Genius for volunteer hours. This worked really well last year except for some parents cancelling at the last minute, we had lots of volunteers.
• We will continue to do the gift cards to encourage volunteer hours. Two gift cards will be given out at the end of the season.
• Building repairs are needed. April 22^nd and April 29^th will be work days at the stadium. We need to repair from the flooding that happened in the snack shack and we need to move everything out of the concession area. This information will be put out when the date is closer on Facebook and on the LYF page.
• Flower beds need help. During Speed and Agility we will open the gates for parents to work in the stadium and may be able to add decorative flowers if we can get ahead of the yard maintenance. This will be when Speed and Agility runs usually on Mondays from 6-7pm.
• Last year was one of the best years with volunteers and we hope to keep up the momentum this year.

For the month of March we have only had an income come into the LYF bank account. Sometime this week a BIG check of $14,776.95 will be coming out for football equipment from Riddell.

We usually get a deposit on Monday's from Team Snap. Tomorrow I will have another deposit to record for the month of March. Overall registration has brought in $25,998.71. Along with this total we have also given numerous athletes scholarships to participate in the 2023 season. How awesome is that? I just wanted to remind everyone that we have our registration set at certain prices so we can cover certain expenses for both football (jerseys with personal names on them and reconditioning helmets each year when they expire) and cheer (cheer bows and competition expense).

One major rule change: Organization has eliminated all punts returns. Defaults to K-4^th rules. Middle schools has all pulled kick returns.

We had volunteers come to help spray paint new small helmets. We appreciate all the volunteers that helped. We had volunteers helping in the concession stand as well. We still have a lot that needs help.

1st Vice President’s Report: 

• Concession Stands had a bunch of pipes break. We had to cut into walls to find the leaks. We need to pay a plumber to come and fix it. We don’t have any water at the concession so we need to get this fixed ASAP before the season and once the work is done we have a lot of work to get done. We will need lots of volunteers. Laurie has ordered all the candy and coke so we need all of this to be fixed quickly.
• Volunteer sign up will be going out soon. Be on the lookout.
• We will be doing the tickets where every time you volunteer you get a ticket and at the end of the season we will pick a winner for a DICKS gift card.
• Everything is still moving forward with the credit cards being set up. Every transaction will add a $.50 transaction fee. After $15 they charge you a 4% fee.
• The high school was vandalized. We need to make sure to lock all doors.

We had 2 drop from 4^th grade football due to moving and 1 drop from 4^th grade cheer.

Nathan Busemeyer addressed the board about their child not being accepted after the registration date closed. He is a Loveland alumni and is moving here and contacted the board on June 22 about their children signing up. He wanted to know why we have a cutoff date and why we didn’t let them join late.

He requests a by law to be added to LYF for late registration and guidelines.

Treasurer’s Report:

Our largest expenses were: buying 20 more helmets ($3557.18), paying for cheer bows ($2028), expenses for repair of the LYF bathroom/facility because of this winter’s water bust, we had to refund several participants registration fees, we purchased LYF flags and a surprise Tiger 🙂

Our income was mostly from team snap (the last of May's registration deposited on the first monday of June) sponsors and corporation money (Kroger).

*We had a successful CPR/First aid/AED training at Time Savers. Thanks Doug for opening up your shop for us to use your facility.

*We were going to have a company sand blast and paint the touch down polls but the city came in and did that. I think we should still get Tiger stripes on the bottom of the polls. It was a mystery and I am glad that we found out who was going in and out of our gates.

*If you need CPR/AED training for your team/squad please contact me.

*I'll be purchasing First Aid Kits sometime in the next two weeks so head coaches look out for that.

• We need to move the AED because the way the sun beats down on it. It could wear the glue down and the connections. Move the AED to in between the two windows.

We had discussion on adding more cheerleaders or splitting teams so that more cheerleaders can participate. We cannot fix this tonight but registration is closed for this year. We will look into this going forward.

Three exemptions can be made on each team for Loveland. Adam Duermit want to make sure we are not recruiting players. It is a GCYFL rule that we get three exemptions per team.

Football Director’s

• Coaches make sure you are paying attention to heat index and the lightening horn when practicing. If the lightening horn goes off, you have to go under cover and you have to go 30 minutes without lightening in order to start practicing again. You have to monitor the app when you can start practicing again. Earth Links is the app. The horn will sound twice when we you can participate in practice again.

President’s Report:

• Bray Bowl/Little Miami’s president called and apologized for the mishaps that accrued at the Bray Bowl. Games being moved and games being called after 8 minutes of play. Going forward, we as a board, we do not want to partake in the Bray Bowl going forward.
• We have Kings Red coming next week.
• Preseason Games:

8/5: Against Kings Red K/1 @ home starts at 9am.

8/12: @ Indian Hill K/1 starts at 9am.

1st Vice President’s Report: 

• Concession: Water is back on and we got a new water heater. We finished the new floor in the concession. We got everything put back to together and lots of cleaning done. Amber Arnold helped a lot with that. Weeds have been pulled but we still need help with that. Angel White cleaned the bathrooms and go them ready for weigh ins. A wall in the woman’s bathroom needs painted and fixed. This will happen before the first official home game. They are all pretty much there but they aren’t perfect. The Coke order came and we have all the candy and water. Will need help unloading the water and taken to the concession stand. Wednesday, they are coming up with the terminals and they will all be set up before the actually first season we host.
• The sound system and score board is all working and everything is ready. We are good to go.
• Sign Up Genius still has blank spots later in the day. Sign up! We need all these shifts covered.
• Everything is still moving forward with the credit cards being set up. Every transaction will add a $.50 transaction fee. After $15 they charge you a 4% fee.

This is the first month our spending is going up because of the season starting strong on August 5th. We have had to pay to get new plumbing, new dry wall, paint and epoxy for the floors in concessions (feel free to talk on whatever more there was purchased.) Laurie has been preparing for concessions and just had a Coca cola order delivered this past week with other fun goodies from Sam's club and GFS.

Laurie, possibly Amber will be meeting the lady for the card terminals this upcoming Wednesday, just in time for the games this coming weekend. I have ordered the money for the game on Saturday. It will be nice to see how much the card terminals get used.

• We have most of the uniforms handed out and we handed out the new pants.
• Shift ideas for game days for Board Members:

Three hour shifts with 3 members

• One of the three has to be the field manager. If anything is wrong it’s on you.
• Week 8 will be playing at home but we still don’t know who we are playing.
• Keys were made for the stadium for each board member.

President’s Report:

• First home game: What a turn out! That’s the most people we have seen at the field. Edgewood travels in numbers and we ran out of places to put people. Financially it was a great day of LYF. For the 6^th grade game I am having a meeting with the GCYFL president. GCYFL board is pretty upset about the 6^th grade team and they will be handing out suspensions and fines.
• Adjustments for home games: No more tents in the bleachers. No more snacks/team meetings at the front gate.
• Dennis did a great job up in the box! He did a great job advertising.
• No outside food inside the stadium. And no dogs.
• Coaches please send out an email about stuff left at the field. We have a ton of stuff left at the end of the games yesterday.

• Concession: Sign up genius went well. We had some cancellations early in the week and we got some covered. If you know you need to cancel please let someone know so that we can get your spot covered.
• Laurie is doing a great job preparing everything! She did a great job stocking the concession stand and we just didn’t know Edgewood that they travel well.
• Thank everyone for jumping in and helping yesterday!!
• We are going to open concession stand for the homecoming dance! There will be a sign up genius sent out tonight. We will have a limited menu. We will just do the concession stand.
• Credit cards went great yesterday. Every transaction will add a $.50 transaction fee. After $15 they charge you a 4% fee. Batteries started going low yesterday. So we were able to fix it quickly.

Treasurer’s Report:

We had a successful first pre-view game. Concessions have been rocking it. Remember that team snacks etc. are to be eaten and given outside the gate. My family after any game spends a good portion at concessions 🙂 Walking tacos are the BEST! I think the credit cards will help us not have to count as much cash at the end of the day and people seem to be okay with the .50 cent fee.

Front Gate profit: cash-$1,828 CC- $216 Total: $2,044

Concession profit: Cash- $$1,473.75 CC- $446.75 Total: $1,920.50

These numbers are from only having football families which is an outstanding numbers.

Total profit for the whole weekend was $3,964.50

$1335 for referees.

$70 for keeping score

Amber talked to you about the fundraisers. Please continue to buy flags, stickers, merchandise from the Lemon and Limes stands and whatever food trucks we have out there. Each purchase helps support our Tiger cubs 🙂

Update from 08/26/2023

Thank you to EVERYONE who helped yesterday. We truly appreciate people stepping up and staying or even asking to help because with out volunteers yesterday we would have struggled.

Credit Card Machine- $1822 from all three machines

The machines were working hard yesterday!

Doug and I haven't had a chance to count money since yesterday because I had a busy Sunday. We will update everyone once we get the chance too. I think it might be safe to say that we had a record breaking day though yesterday.

Thankful for the credit card machines. I'm thankful for our sponsors that braved the heat yesterday: Lemon and Limes, Sugar Rush and the Coffee place. (Still waiting on totals from them.)

• The next meeting will be held on Sunday, September 24^th, 2023 at 7:00 pm. This meeting will be in person at the high school. (This is the fourth Sunday due to having games on the third Sunday of the month.)
• I have met with Tori who is in charge of the Homecoming Parade and I have contacted the 5^th and 6^th football and cheer team moms. I am still waiting on one team to send in their info.
• The sponsor banners have been purchased and hung.
• I have ordered our homecoming yard signs and they should be ready by 9/9.
• 1^st is Youth Night. Each team mom should be contacting their teams about meet up times. Game tickets can be purchased on the Loveland Football page for parents.
